Vendor Integration

Vendors working with the District must demonstrate they meet the minimum information security requirements before implementing their product or service. The following tools are used to evaluate vendor solutions.

Procurement of Digital Solutions (PoDS)

The Unified Digital Instruction Procurement Plan (UDIPP) has been updated to PoDS. Los Angeles Unified requires all suppliers of digital instructional software (curricula, software licenses, hardware and hardware with online software, and/or online subscriptions) to complete a PoDS application prior to use of these products in Pre-K through 12 instruction. An approved PoDS protects personally identifiable information (PII), product access and the District’s network when digital instructional software requires the exchange of student and/or employee information to enable access to log in and use the product.

A fully completed and approved PoDS application is required for all products and may be accessed at https://udipp.lausd.net

Technology Review Request (TRR)

Schools and/or departments, including applicable end users, are not allowed to install unapproved software on devices. Any software installed must be legitimately purchased and licensed for the use. The Information security review ensures the requested solution meets minimum information security requirements.

 

For non-instructional software, a TRR Form (Attached Below) must be completed and submitted to ITS via [email protected].

Decision Flow for Learning Applications

Student PII (Personally Identifiable Information)

Information that can be used to identify an individual student, directly or indirectly. Examples include:

  • Full name (e.g., John Smith)
  • Grade level
  • Grades or academic performance
  • School attending
  • Student ID number
  • Date of birth
  • Parent/guardian name
  • Home address
  • Login credentials (username/password)
  • Photos, video, or voice recordings linked to a student
  • Any unique identifier or combination of details that could reveal a student’s identity

Purpose: Vendor-completed application for instructional products, such as:

  • Digital curricula and software
  • Online curricula
  • Software licenses
  • Hardware with online software

When Required: If the product collects Student PII and/or is used for instruction.

Process: If the product is not in the approved catalog, vendor must submit a PoDS application.

Purpose: LAUSD staff-completed application for non-instructional materials.

When Used: For products that do not collect Student PII.

Does it collect Student PII?

(Examples: Name, Student ID, DOB, Parent/Guardian Name, Login Credentials, Photos, Video, Unique Identifiers)

No - Approved for TRR       

Yes - Must submit PoDS (formerly UDIPP)
